4 Tips for Adding Team Headshots to Your Company's Offsite

A majority of my team headshot shoots within the last couple of years have been during the annual or bi-annual company offsite. In our world of hybrid and remote work, it’s often one time everyone on the team is in one place so logistically, it makes sense that it’s the time give everyone a photo refresh.

There’s a lot to make happen while everyone is together at an offsite, so here are a few tips for seamlessly adding portraits to the schedule.

1. Book 4+ weeks in advance (and: tell your team you’re doing headshots!)

This will allow those planning the offsite to schedule time (and: a shoot space) accordingly, plus it also allows your team members to prepare too, whether it’s booking a haircut or figuring out what to wear.

2. SCHEDULE for THE Morning, or AfteR a break

Headshots can be very efficient, but you definitely want to schedule during a time that everyone is feeing their best with time to prepare. I recommend planning the headshot windows for first thing in the morning. I’ve done this during an open window while the team is grabbing breakfast, checking emails and preparing for the day, before sessions kick off.

The other option is later in the day, after an afternoon break or before dinner. This allows everyone to take a break, refresh. Some companies even pair portraits with a team social event or happy hour!

3. sHARE A WARDROBE GUIDE 2+ weeks out

Everyone wants to feel prepared with wardrobe, and for some that may even mean a few orders and try-ons. I recommend letting everyone wear something that reflects their style and always provide general camera-friendly clothing guidelines, but each company should provide some high level clothing guidelines for the team, so there’s some consistency when the photos are used side-by-side. For example, you don’t want everyone in casual t-shirts and one person in a suit, or everyone in black and one person in bright pink.

4. Add Group or Marketing Photos

Again, while everyone’s in one place and you have a photographer with camera in hand, this is a great time to capture extra marketing imagery for future content needs. This look like a few portraits of your co-founders, a group shot of the entire team or candids of employees for social media.
